The Office Administrator plays a critical role in ensuring the smooth day-to-day functioning of the Detroit office. This position oversees office operations, inventory management, and facilities coordination while serving as a key liaison for vendors and building services. The role provides administrative and executive support to leadership, including scheduling, communication management, and occasional travel coordination.
Additionally, this position enhances workplace culture by delivering a welcoming experience for guests and team members, coordinating events, and assisting with the onboarding process. The ideal candidate is highly organized, proactive, and solutions-oriented, with the ability to manage multiple priorities, identify operational inefficiencies, and maintain a well-functioning, collaborative office environment.

Position Details and Responsibilities
1. Office Operations & System Management
- Procurement & Budgeting: Oversee the procurement of office supplies, technology hardware, and kitchen inventory; track expenses against the office operations budget.
- Process Standardization: Maintain and update the company’s digital files, and standard operating procedures (SOPs) to ensure operational consistency.
- Logistics: Manage all incoming/outgoing mail, shipping logistics, and occasional local operational errands.
2. Facilities & Vendor Relations
- Vendor Liaison: Act as the primary, on-site contact for building management, cleaning crews, IT contractors, and utilities.
- Space Maintenance: Ensure the physical workspace remains professional, organized, and fully functional; proactively log and track building maintenance requests.
3. Executive Coordination
- Calendar & Inbox Gatekeeping: Protect leadership’s time by proactively managing complex calendars, resolving scheduling conflicts, and routing inbox inquiries.
- Meeting Support: Assist with leadership meeting logistics, including drafting basic agendas, capturing action items, and tracking follow-ups for the team.
- Travel Logistics: Coordinate occasional travel itineraries and compile monthly expense reports for the executive team.
4. Team Culture & Onboarding
- Internal Communications: Help draft weekly internal updates or team announcements to keep information flowing smoothly while leadership is at capacity.
- Onboarding Logistics: Own the operational onboarding pipeline—ensuring new hires have equipment, software licenses, building access, and welcome materials.
- Event Coordination: Assist as needed: coordinating team events, milestone celebrations, and local Detroit-based culture initiatives.
Skills & Qualifications
- Experience: 3+ years in an Office Manager, Executive Assistant, or operations role.
- Technical Proficiency: Strong proficiency in Google Workspace; experience with project management tools (e.g., Asana) is a major plus.
- Mindset: Highly organized, proactive, professional, and comfortable operating independently with minimal day-to-day oversight.
Additional Job Specifications
- Job Classification: Non-Exempt, Part-Time
- Job Length: At-will
- Compensation: $22 per hour, depending on experience.
- Work Schedule: 20 hours; Primarily Weekdays with Some Evenings / Weekends.
- Location: Hybrid: On-site at our Detroit office & Virtual
- Logistics: Ability to work evenings/weekends as required by campaign cycles and organizational needs. Access to reliable transportation is required.
